Privacy policy

Privacy policy

infraone Inc. regards the proper protection of personal information as an important responsibility and handles it under the policy below.

This English translation is provided for convenience. If it differs from the Japanese version, the Japanese version prevails.

1. Business operator

infraone Inc. (株式会社インフラワン)
Representative Director: Ryota Maruyama
Address: 2F Shinjuku Entre Salon Building, 2-12-13 Shinjuku, Shinjuku-ku, Tokyo 160-0022, Japan

2. Information we collect and why

We use company names, personal names, business email addresses, telephone numbers, inquiry details, desired deadlines, approval status and similar information to respond to inquiries, check fit, handle quotes, contracts, invoicing, delivery and follow-up, contact people about hiring and contract work, prevent misuse, and keep the records needed to run our services. Please do not enter IDs, passwords, API keys, IP addresses, private URLs, detailed configurations, customer names or other confidential information in a first inquiry.

3. Information entered in QuickDecision

The QuickDecision self-check processes each answer only in your browser and does not send or store company information or answers on our servers. To improve the site, we may process coarse result categories without the answers themselves (fit, needs checking, out of scope, and the type of support that is out of scope) as anonymous usage events. The application preparation form also only builds an email in your browser; it does not send anything automatically or store it on a web server. Once you send the email yourself, it is kept in our mailbox and managed under this policy.

The regular contact form is received by our web server and forwarded to our mailbox as an inquiry email. This works differently from the in-browser QuickDecision forms.

4. Candidate Signal pilot inquiries

The public Candidate Signal form is only for inquiries from people in charge at companies and organisations that hire. We collect the company or organisation name, contact person, email address, telephone number, positions under consideration, number of hires and timing, and receive them in our mailbox, in order to respond, check fit, communicate about quotes and contracts, and prevent misuse. Positions are not limited by job type and are designed case by case to match your selection process. Information that does not lead to a consultation is deleted, as a rule, within one year of our last contact. Contract, invoicing and other records are kept for the periods required by law or contract.

The form has no free-text, URL, attachment or candidate fields. We state clearly that candidate names, contact details, application documents, CVs, assessments and other candidate information must not be entered. We do not send form entries to AI or analyse them with AI. If we find an entry that includes candidate information by mistake, we do not copy it to AI or CRM systems, do not use it, isolate and delete it, and suggest a safe way to share. A pilot that handles candidate data starts only after we separately agree with the hiring company on the contract, explanation to and consent of candidates, a safe sharing method, and storage and deletion.

We do not place Google Analytics or any other external analytics tag on the Candidate Signal corporate inquiry form, and we do not send its field values, checkbox values or error messages to analytics.

5. Disclosure to third parties and outsourcing

Except where required by law, we do not provide personal data to third parties without your consent. When we outsource the operation of email, web hosting, business systems and similar services, we limit it to what is necessary and maintain appropriate contracts and supervision.

6. External services and analytics

Our web server may process access logs such as IP address, date and time, URL viewed and browser environment, for security, troubleshooting and stable operation. If you display the map on the company page or open external links, your browser may communicate with Google.

We use Google Analytics 4 by Google LLC (measurement ID: G-6XKW982ETE) to improve the site, evaluate navigation and analyse how people reach us. From the first page view, in a limited mode that does not store analytics cookies or identifiers in your browser, the following may be sent to Google: pages viewed, page titles, referrers without query strings, browser, OS and device type, approximate region, scroll depth, button clicks, form starts and submissions, and coarse QuickDecision progress and result categories. Google may handle your IP address, time, user agent and similar data to process the communication.

We do not send free-text form entries, individual self-check answers, names, company names, email addresses, telephone numbers, customer names, IDs, passwords, IP addresses or detailed configurations as analytics events. Advertising signals and ad personalisation are turned off, and query strings in URLs and referrers are removed.

Only if you choose “Allow analytics cookies” does Google Analytics switch to ongoing analysis using identifying cookies (for example _ga). Your choice is stored in your browser’s local storage. If you choose “Continue without cookies”, limited measurement continues. If you choose “Stop analytics”, known analytics cookies are deleted and Google Analytics communication stops after the page reloads. You can change this at any time from “Analytics” on the screen. Stopping does not retract limited measurement data already sent.

For how Google handles information, please see the Google Privacy Policy and the Google Analytics Terms of Service.

7. Retention

We keep information only for as long as needed for the purposes of use and as required by law or contract, then delete or anonymise it safely. Records needed for individual contracts, invoicing or disputes are kept for the periods required by law or contract. Event data in Google Analytics follows the retention period we set in that service and Google’s terms.

8. Security measures

We take necessary and appropriate security measures suited to the information we handle, including clear responsibility, limited access rights, a design that does not collect confidential information at first contact, checks on contractors, and reporting and response procedures in case of a leak.

9. Disclosure, correction and suspension of use

If you or your legitimate representative ask us to notify the purpose of use of, disclose, correct, add to, delete, stop using, erase or stop providing to third parties the personal data we hold, we will respond in accordance with the law. Please contact the office below with the information needed to confirm your identity and the details of your request. We will tell you in advance whether we can respond, which documents are needed and whether any fee applies.
